1. Why are you starting? (the question to answer first)
Before any of the admin, sit with one question: what kind of club do you actually want? The answer determines almost everything else — which league you join, what kit you buy, how seriously you take match results, whether you charge subs.
There are roughly four flavours in UK grassroots football:
- Pure participation. Everyone plays, results don't matter, development over the long term. Common for U7–U10.
- Competitive grassroots. You take it seriously, train twice a week, expect to win some, lose some. U10 upwards.
- Adult Sunday league. A pub team, basically. Twelve mates and a guy who used to be quick. Different rules, different vibe.
- Disability / inclusive football. Often the most rewarding and the most under-served. The FA actively encourages new clubs in this space.
Pick one. Write it down. Tell the parents on the WhatsApp group. The worst grassroots clubs are the ones that never decided — the coach wants to win, the parents want fun, and by November everyone's annoyed.
2. Get four other adults on board
You need five committee members minimum for FA charter recognition, but realistically you want this anyway because solo-founding a club is a fast way to burn out. The five roles, in order of actual importance:
- Chair — runs meetings, makes the call when nobody else will.
- Secretary — the unsung hero. Handles FA paperwork, fixture lists, league forms, the safeguarding return. This is the job that actually keeps the club alive.
- Treasurer — bank account, subs collection, kit money. Find someone organised. Ideally someone who isn't also a coach.
- Welfare Officer — mandatory for any club with under-18s. Has to do an FA safeguarding course (online, free, takes a couple of hours).
- One more parent — the fifth seat. Often picks up social-media + match reports + photos. Underrated job.
Don't pick “FC” or “United” first — pick something that means something to your area. Some of the best grassroots names are the unexpected ones (Castle Acre Swifts, Cuthbertson Tigers, Ncuthu Stars). The league will reject the name if it's too close to an existing one in your county, so have two or three options ready.
3. Write a constitution (yes, really)
A constitution is just a one-page document that says “here's how decisions get made in this club.” You need one to open a bank account, register with the FA, and apply to a league. Don't try to write it from scratch: the FA has a downloadable template that 95% of clubs use word-for-word.
It covers:
- Club name + colours
- Who the committee is and how new ones are elected (usually annual AGM)
- Voting rules (one member, one vote — or one parent, one vote — pick)
- How subs are set
- What happens if the club dissolves (any remaining cash goes to a charity, typically)
Sign it at the founding meeting. Put a copy in a Google Drive folder called “Club docs” alongside your safeguarding policy, meeting minutes, and the photo-permission templates. Future-you will thank present-you many times for this folder.
4. FA affiliation: the bit you can't skip
You can't enter an FA-sanctioned league without affiliating with your county FA. The process changes slightly each year but always involves:
- Affiliation application — submitted via your county FA's online portal in July/August. Around £50–£100 per team.
- Coach qualifications — every coach needs at minimum
an
FA Introduction to Coaching Footballqualification (about £50, weekend course) and an up-to-date DBS check. - Safeguarding course — the Welfare Officer plus every coach has to do the FA Safeguarding Children online module each three years. Free.
- First-aid certificate — one trained adult at every training session and match.
Build a spreadsheet (or use a club admin tool — more on that below) that tracks the renewal dates for everyone's coaching badges and DBS certificates. Don't trust your memory for this. When one expires, the affiliation is technically invalid until it's renewed.
5. Insurance: cheaper than you'd think
Public liability + personal accident insurance is required by every league and isn't expensive. Most county FAs partner with an insurer to offer bundled cover (often around £100–£200 per team per season) and that's typically the cheapest, easiest option. If you're playing in a league not under FA umbrella (rare for kids), shop around — the policy you want covers:
- Public liability up to £10m (in case a stray ball injures a passer-by)
- Personal accident for players (broken bones during play)
- Equipment cover (your goals, your kit bag — theft from the kit shed is a real risk)
- Trustee cover for committee members
6. Find a league with space for you
Leagues vary wildly. Some have a 3-year waiting list (Surrey Youth League, anywhere near London), some are desperate for entries (most rural counties). Your county FA can tell you which leagues run in your area. Apply early — before the previous season ends if you can. The application usually wants:
- Your constitution + committee list
- Your insurance certificate
- Your home pitch confirmation (this is the bit that often blocks you — see next)
- A small entry fee (£30–£100 typically)
7. Pitches: the actual hardest part
Nine times out of ten, the pitch is what kills a new club. You're competing for a finite resource with every other team in your area. Your options, in order of likelihood:
- Local council pitches — cheapest (£30–£60 per match), often the worst maintained. Apply directly to the council's parks team in January for the following September.
- School pitches — secondary schools sometimes rent out their pitches at weekends. Costs more, surfaces are usually better. Make friends with the school caretaker.
- 3G/4G astro pitches — the dream for training. Expensive (£60–£100 per hour). Local universities often have the cheapest slots outside peak.
- Private clubs — rugby clubs and cricket clubs occasionally let football tenants in. Worth asking.
Whatever you secure, get the booking in writing for the full season before you tell parents you've got a pitch. The number of new clubs that fold in October because the council reallocated their slot in September is depressing.
8. Kit, registrations, and your first set of subs
Kit can come from anywhere — a local sponsor (the pub at the end of the road is the classic), bulk orders from a kit supplier (Discount Football Kits, Predator, ProDirect all do team bundles), or the parents pay for their own. The key decisions:
- Colours. Check the league hasn't reserved your first choice.
- One or two strips? Home + away is standard but you can get away with one for your first season — some leagues let the away team wear bibs.
- Who pays? Parents pay (most common), club pays from sponsorship (better but harder), or hybrid (parents pay shorts + socks, club provides shirts).
Subs are how clubs survive. Typical grassroots subs are £50–£150 per child per season, paid monthly or up-front. Collect via standing order or Direct Debit — not cash in envelopes (treasurer nightmare, FA frowns on it for safeguarding reasons). For collecting subs without chasing parents, modern systems use Direct Debit mandates so you can debit each month automatically.
9. Setting up the boring admin (so it doesn't eat your evenings)
Here's the bit nobody warns you about: running a club is mostly paperwork. Match reports, fixture lists, parental consent for photos, contact details, kit sizes, allergies, who's been picked for Saturday, who's missed three trainings in a row. A new club founder spends 5–10 hours a week on this stuff. The two biggest time-sinks are:
Communication with parents
WhatsApp groups work for the first year, then turn into a mess of emojis, missed messages, and arguments about who's bringing oranges. At some point you'll want a real broadcast tool — a way to email match reports + fixture updates without 30 people responding with thumbs-ups that bury the actual message.
The club's online face
Every club ends up with some kind of website — a Facebook page, a Wix site a parent built in 2019, a Pitchero page that was abandoned. The reason most are terrible is that updating them is coupled to that one person who built it. When they step down (and they will), the website calcifies.

10. Your first game
Your first competitive fixture is a milestone. A few practical things to sort the week before:
- Confirm the venue, kit colour clash with the opposition, kick-off time
- Photograph the team in their kit before the warm-up — this is the photo that ends up in the club's first scrapbook
- Have a first-aid kit on the touchline. Always.
- Designate one parent on each team as the "responsible adult" in case a child needs collecting
- Brief the coaches to talk to the players, not the ref
You will probably lose. Or win 7–1. Whatever happens, get a match report out the same evening — even if it's three sentences and a photo. Parents who didn't make it want to know what happened. Players love being mentioned by name.

11. Year one: what to expect
Three honest things nobody tells founders:
- You will lose at least one committee member by Christmas. Burnout, family changes, internal disagreement. Plan for it. Build the club so it can survive someone walking away.
- Money will be tighter than you think. First-year sponsorship is hard to land, kit orders are surprisingly expensive, and at least one referee will no-show and demand a postponement fee. Set subs so you can weather a deficit of a few hundred pounds.
- The kids won't care. Players don't care about the constitution or the AGM. They care about playing on Saturday. As long as the kit is washed and the pitch is booked, the rest is invisible to them — which is exactly as it should be.
By Easter of year one, you'll know whether the club is going to make it to year two. Most do. The ones that don't usually fail on either pitch access or treasurer burnout — both solvable if you plan for them upfront.
